4.6 Access Management #
4.6.1 - The repository shall comply with Access Policies. #
Response #
Members of SP’s Designated Community will only have access to those resources which they have licensed, either through OCUL, CRKN, or institutionally. This access also includes any open access resources loaded into Scholars Portal.
This access is enforced through the use of an entitlements module within the SP system, which tracks what materials are to be made available through the end-user interface.

4.6.1.1 - The repository shall log and review all access management failures and anomalies. #
Response #
Access management is handled automatically through SP’s entitlements system. SP staff also recieve and address reports of users not having access where expected.

4.6.2 - The repository shall follow policies and procedures that enable the dissemination of digital objects that are traceable to the originals, with evidence supporting their authenticity. #
Response #
SP’s DIPs and AIPs are linked through use of a common URI. The preservation metadata component of the AIP records all events that occur to the object while in the repository, as well as makes reference to the location of the original SIP that is stored on disk and systematically backed-up. Preservation metadata, including provenance information is accessible to the user, where available, through the user interface.

4.6.2.1 - The repository shall record and act upon problem reports about errors in data and responses from users. #
Response #
SP is a very active archive where accessibility is paramount. If any user encounters an issue or problem with the retrieved version of the DIP, SP provides a ‘contact support’ email for users to report problems directly to staff or a Feedback Forum to voice suggestions for improvement of the repository. Feedback from the Designated Community provides valuable information about accessibility, usability, understandability, and holdings. Generally, the close relationship between SP and its Designated Community means that SP staff are aware of new needs and expectations at an early stage.
